Junior Cohort Program Coordinator
General Description:
The Junior Cohort Program Coordinator directs, facilitates and coordinates the day-to-day operating aspects of the program including planning, organizing, implementing and presenting learning modules and program activities. The Program Coordinator works closely with all program mentors in the planning, preparation and delivery of curriculum; serves as the primary contact resource for parents, high school advisors, grantee organizations and other external resources; and is the chief liaison to the community foundation for all program-related activities, public information and internal communication.
Specific Duties and Responsibilities:
Schedule and facilitate a high school advisors’ planning meeting prior to the start of the school year; distribute student application forms; distribute promotional materials; confirm program calendar with advisors.
Receive and process student applications; distribute applications to mentors.
Organize and schedule individual student applicant interview appointments; manage interview-day logistics; facilitate the selection process with mentors.
Plan, organize and implement the student/parent orientation session.
Schedule and facilitate mentors’ planning meetings between sessions as needed.
Coordinate resources needed for learning sessions: manage logistics including meals and refreshments, site preparation, AV equipment, handouts and clean up.
Serve as the point person and primary spokesperson for and liaison with nonprofit organizations/grantees in the community.
Distribute and collect Request for Proposals; receive completed grant applications; distribute grant applications to mentors and students.
Plan and coordinate the use of outside experts as presenters for selected sessions.
Help mentors coordinate student service projects.
Direct the planning and delivery of the annual Capstone Ceremony.
Plan agenda for annual mentors retreat to continue to evaluate the program, make adjustments and changes where indicated, and generally improve the quality of the learning experience.
Archive all program documents and materials including information on students, participants, mentors, speakers, grant making process, program evaluations, media files and other program materials.
Minimum Qualifications:
Possesses general knowledge of philanthropy and the nonprofit sector
Currently resides in a community served by the community foundation
Able to devote sufficient time to the program for the entire school year
Demonstrates satisfactory results of a background check.
Desirable Experience and Qualities:
Prior experience working with teens, parenting teens and/or serving as a volunteer program leader with teens.
Demonstration of a commitment to philanthropic activities and civic engagement.
Good writing and speaking skills, well organized, effective management abilities
Excellent communicator, sense of humor, flexible, efficient, task oriented
TIME COMMITMENT:
Prior to the beginning of the school year, the approximate time commitment required to complete the duties and responsibilities outlined in 1-4 will range from 25-30 hours. Thereafter, about 7-10 hours a month is needed to attend the monthly learning sessions, manage and distribute materials and provide mentor support. Planning and managing the annual Capstone Ceremony will require about 5 hours and the mentors retreat about 4 hours. Depending on the extent of time devoted to the liaison role with the community foundation and external relations with other stakeholders an additional 1-2 hours a month could be added.
Senior Cohort Program Coordinator
General Description:
The Program Coordinator for the senior cohort directs, facilitates and coordinates the day-to-day operating aspects of the program including planning, organizing implementing and presenting learning modules and program activities. The Program Coordinator is the chief liaison with all stakeholders including the parents/guardians, high schools, grant applicants, prospective and current donors and other funders and supporters. This person is responsible for operating the program under the auspices of the TPI licensed organization that serves as the sponsor of the program. All program materials, media resources and administrative components of the senior cohort are managed by the Program Coordinator.
Specific Duties and Responsibilities:
Distribute Senior Cohort pre-session information packets.
Facilitate Mentors orientation meeting; form team assignments.
Identify and schedule outside speakers for various sessions.
Schedule and facilitate Mentors planning meetings between each session
Coordinate and attend all sessions; manage logistics including food and refreshments, site preparation, AV equipment, handouts and clean up.
Assist mentors with organizing various fundraising activities.
Identify and book the venue for the capstone event and coordinate event day program and logistics.
Assist mentors with scheduling various strategic volunteerism activities.
Serve as the primary resource for all students, Mentors, advisors and other stakeholders.
Continue efforts to evaluate the Program, make adjustments and changes where indicated and generally improve the quality of the learning experience at every step
Continue to archive Program documents including information on student participants, mentors, speakers, grant making processes, evaluations, capstone events, media, etc.
